Frequently asked questions

Answers to common questions about the Desk23 AI receptionist: which calls it answers, appointments, transcripts, call minutes, and suitability for dental practices and accountancy firms.

What is Desk23?

Desk23 is an AI receptionist for businesses. It answers inbound calls using the information and rules you provide, captures enquiries, and makes every conversation available to your team in a secure dashboard. Desk23 sets up each company account, so every business starts with a configuration that fits.

How does an AI receptionist work?

Once your business is set up, Desk23 answers the calls your phone system sends to it. It speaks naturally, answers from the services, opening hours and routine information you have approved, and follows the call-handling rules agreed for your business. Authorised colleagues can review calls and conversations in the dashboard.

Does Desk23 answer every call?

It answers the calls your telephone routing sends to it. Most businesses start by sending calls to Desk23 when staff are unavailable, and the exact arrangement depends on your phone system.

Can it answer only when staff are unavailable?

Yes. That is the usual starting point: Desk23 picks up when your team is busy or the office is closed, subject to how your telephone system is configured.

Can we use our existing business phone number?

Desk23 is designed to work with your existing number through call routing. What that involves depends on your phone provider, so we confirm the details with you during onboarding.

Can it answer questions about our business?

Yes. It answers from the information your business has supplied and approved, such as services, opening hours and routine questions. If it does not have an answer, it says so and takes a message rather than guessing.

Can it capture customer enquiries?

Yes. Desk23 records the caller’s details and the reason for the call, so your team has a clear record to follow up.

Can it book appointments?

Yes, where appointment handling has been enabled for your business. Desk23 can check availability and book, reschedule or cancel an appointment. If it is not enabled, Desk23 takes the request for your team to handle.

Can it work with our calendar?

Appointment handling connects to a calendar that has been set up for your business. We will confirm during your demonstration whether your calendar can be connected.

Can we review call history?

Yes. Owners and authorised staff can review call history in the Desk23 dashboard.

Are conversation transcripts available?

Yes. Transcripts and call summaries appear in the dashboard shortly after a call finishes, for the people you authorise to read them.

Can calls be passed to staff?

Where you have configured escalation, Desk23 follows your instructions so a member of your team can take the matter forward. The exact handover depends on that configuration.

What happens outside business hours?

Your opening hours and call-handling rules are set for your business. Desk23 can answer outside staffed hours when you want it to and your phone routing allows it.

Is there a free trial?

Yes. New customers start with a 14-day trial. 100 minutes of call time are included. No payment details are needed to start. After your demonstration, the Desk23 team sets up your account and your trial begins. There is no online sign-up, so you are never enrolled by accident.

What happens when the trial ends?

New calls pause until a plan is agreed. Your dashboard, call history, transcripts and bookings stay available. If you need longer to decide, the Desk23 team can discuss extending your trial.

How are call minutes charged?

Each plan includes a set number of minutes. Additional minutes are charged at the rate shown with the plan. Desk23 does not offer unlimited calls, and the pricing page shows the figures openly.

What happens when included minutes are exceeded?

Additional minutes are charged at the additional-minute rate for your plan. That rate is published on the pricing page.

Is there a minimum contract?

Contract terms are confirmed with you when you choose a plan, so you can review them before you commit.

How do we get started?

Request a demonstration. After that, the Desk23 team creates your company account and your 14-day trial begins. There is no online checkout.

Is it suitable for dental practices?

Yes, as an administrative receptionist: it answers calls, shares approved practice information, captures new-patient enquiries and arranges appointments where booking is enabled. It is not a clinician and does not diagnose, recommend treatment or make clinical decisions.

Is it suitable for accountants?

Yes, as a receptionist for calls, approved service information, prospective-client details and consultations where booking is enabled. It does not give personalised tax, accounting, legal or financial advice.

Does it provide medical or tax advice?

No. Desk23 does not diagnose symptoms, recommend treatment or give personalised medical advice. It does not give personalised tax, accounting, legal or financial advice, and it does not make commitments about tax outcomes, fees or filing deadlines. Those calls are recorded and passed to your team.
